Obsesionarse con el e-mail
En un estudio reciente presentado en la WWW Conference por Microsoft Research, se midieron varios aspectos del uso de e-mail en un entorno corporativo. Respecto a los e-mails enviados, la mediana son 8 mensajes al día. En un período de 3 meses, estos correos son enviados a una mediana de 190 receptores distintos, pero si tomamos los top-10 receptores de cada uno de los usuarios estudiados, ellos cubren más del 60% de los mensajes enviados.
Por otra parte la mediana son ~60 mensajes recibidos al día, pero este número varía bastante y hay un 10% de usuarios que reciben más de 250 mensajes al día. Con ese número de mensajes, no es raro que alguna gente se declare en bancarrota de e-mail.
En general, de los mensajes recibidos alrededor del 3% son respondidos. Los mensajes enviados a menos personas o intercambiados entre personas que se envían muchos mensajes, son los que se responden con más frecuencia. Cuando se contesta un mensaje, el tiempo mediano de respuesta es de aproximadamente 1 hora, y un 20% de los e-mails contestados, son contestados dentro de los primeros 5 minutos de haber sido recibidos. Estas estadísticas consideran las noches y los fines de semana. Durante las horas de trabajo, el tiempo de respuesta es más breve.
Personalmente creo que es un error usar el e-mail así, es prácticamente un comportamiento obsesivo, porque la enorme mayoría del correo no requiere una respuesta inmediata. Contestar constantemente el correo, o incluso leer el correo constantemente, me parece que hace que sea más difícil concentrarse en las tareas que son realmente importantes, y mata la productividad de una persona.
Yo creo que para las tareas urgentes, la gente que puede generar tareas urgentes para ti debería tener tu número de teléfono del trabajo y poder llamarte cuando sea realmente necesaria una interrupción. Otra opción es usar una segunda dirección de correo para las cosas realmente prioritarias. Porque si el 97% de los correos ni siquiera serán respondidos, es absurdo perder tanto tiempo refrescando obsesivamente la bandeja de entrada.
Susan Ward en About.com aconseja:
Elije una hora particular del día para revisar y responder correo. Agenda el tiempo que sea necesario para el volumen de correo que recibes, y trata de cumplir esta agenda lo más regularmente que puedas.
Y no contestes correo en el momento del día en que eres más productivo (...) Contestar correo no es una tarea que requiera mucha productividad. Así que si ignoro mi correo, por ejemplo, hasta la tarde, puedo disfrutar del doble beneficio de tener tiempo para otras tareas más difíciles, y no estar continuamente interrumpiendo las demás cosas que estoy intentando hacer.
Tim Ferris propone una política más concreta: contestar correo dos veces al día, por ejemplo a las 11:00 y a las 16:00, avisándole a tu jefe y a la gente con la que trabajas directamente que no estarás constantemente leyendo e-mail y cuál es la forma de avisarte de algo urgente.

En lo personal, yo uso varios filtros de correo y normalmente recibo los correos automáticamente en carpetas: correo personal, del trabajo, de listas de correo importantes, no-importantes, etc. Eso ayuda bastante.
No tengo una política de leer el correo en horas fijas del día, pero evito contestar correo en la mañana. Algo que comencé a hacer hace un par de meses, y me ha resultado muy bien hasta ahora es usar un timer de 45 minutos que uso para concentrarme en una tarea. Cierro el correo y todas las ventanas del browser que no sean estrictamente de trabajo, echo a correr el timer y me meto directamente en una tarea difícil (programar algo, estudiar un problema, escribir algo, revisar un artículo, etc.). Cuando el timer salta, me detengo, abro el correo, si no hay nada prioritario, lo cierro e inicio el timer de nuevo. Esto me ayuda a evitar distraerme y a poder concentrarme en completar una tarea, sobre todo en los días difíciles en que cuesta meterse a hacer las cosas más complicadas.
Cada uno tiene que desarrollar, creo yo, la forma de trabajar que le sea más cómoda. Mi punto es que revisar obsesivamente el correo y contestar todos los correos en menos de una hora, es fantásticamente comunicativo pero no parece ser que a la larga sea muy productivo :-)

Esto es sin contar las miles de veces que presionaba, ansiosamente, el botón de "Get Mail".
Buscando mejorar mi productividad terminé desconectándome de casi todo. Saqué los mensajes en tiempo real, controlo los binarios de algunos ejecutables en un cron, redirigí slashdot al 127.0.0.1 en el /etc/hosts y, después de leer este post, probé lo de hacer rachas de 45 minutos ininterrumpidos (uso apimac como timer para mac). Le sumo a esto desconectar (físicamente) el cable ethernet, excepto cuando sé que lo voy a necesitar.
Es difícil (super difícil) acostumbrarse a no tener el mail conectado a la vena. Ahora trato de revisar y procesar mis correos "sólo" tres veces al día: al llegar en la mañana, después de almuerzo y 15 minutos antes de volver a casa. Algo que me ha funcionado es patear todo lo personal y no urgente para el fin de semana, lo que usualmente proceso en un par de horas el sábado en la tarde.

Cuando trabajaba en horario de oficina, dicho horario me servía para separar los contextos. Durante la jornada laboral revisaba correos de ese ámbito, y en horas libres, el correo personal. Las excepciones existían en ambos sentidos, pero sólo como una manera de descansar del contexto cuando las tareas eras muy agotadoras y requerían más atención, o en épocas donde ocurrían incendios en horarios fuera de "mi" horario de oficina.
Concuerdo además que cuando se requiere concentración o atención, lo mejor es cerrar todo lo no indispensable, de manera de evitar distracciones. Cuando así lo requería, desviaba el teléfono para que lo atendiera la secretaria.
